OpenDates ("OpenDates," "we," "us," or "our") operates the scheduling platform available at findopendates.com and app.findopendates.com. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our platform.

By accessing or using OpenDates, you agree to the collection and use of information as described in this policy. If you do not agree, please discontinue use of the platform.

Information you provide directly:

• Name, email address, job title, and institution/school affiliation provided during account registration or application.
• Scheduling data you enter — open dates, game requests, proposed terms, guarantees, locations, and notes.
• Communications sent through the in-app messaging system.
• Game contract documents you upload to the platform.
• Payment information processed through our third-party payment processor (we do not store raw card data).

Information collected automatically:

• Log data including IP address, browser type, pages visited, and timestamps.
• Authentication tokens and session data used to keep you signed in.
• Usage analytics such as features accessed and frequency of use, used to improve the product.

We use the information we collect to:

• Create and manage your account and provide access to the platform.
• Match your program with scheduling opportunities from other institutions.
• Send transactional emails — application status updates, game request notifications, contract alerts, and account management emails.
• Process subscription payments and manage billing.
• Improve, maintain, and troubleshoot the platform.
• Communicate with you about product updates, new features, or important policy changes.
• Comply with legal obligations.

We do not sell your personal information to third parties, and we do not use your data for advertising purposes.

We share your information only in the following circumstances:

• Other platform users: Scheduling-related information (your institution name, available dates, game request terms) is visible to other authenticated users of the platform as part of the core service.
• Service providers: We use the following third-party services to operate the platform:
  • Supabase — database hosting and authentication
  • Vercel — application hosting and deployment
  • Resend — transactional email delivery
  These providers are contractually bound to protect your data and may only use it to perform services on our behalf.
• Legal requirements: We may disclose your information if required by law, court order, or to protect the rights, property, or safety of OpenDates, our users, or the public.
• Business transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred. We will notify you via email and/or a prominent notice on our platform before your information is transferred and becomes subject to a different privacy policy.

We retain your account and scheduling data for as long as your account is active. If you close your account, we will delete your personal data within 90 days, except where we are required to retain it for legal, contractual, or regulatory purposes.

Game records and scheduling history associated with confirmed games may be retained in anonymized form for platform integrity and dispute resolution purposes.

We implement industry-standard security measures to protect your information, including encrypted connections (HTTPS/TLS), row-level security on our database, and secure credential storage. Authentication tokens are stored in server-side cookies and are never exposed to third-party scripts.

No method of transmission over the internet or electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your information, we cannot guarantee absolute security.

You have the following rights with respect to your personal information:

• Access: Request a copy of the personal data we hold about you.
• Correction: Request correction of inaccurate or incomplete data.
• Deletion: Request deletion of your account and associated data.
• Opt-out of emails: Use the unsubscribe link in any marketing email. Transactional emails related to your account cannot be opted out of while your account is active.

OpenDates uses cookies and similar technologies solely for authentication and session management — specifically, to keep you signed in securely. We do not use tracking cookies, advertising cookies, or third-party analytics cookies.

You can configure your browser to refuse cookies, but doing so may prevent you from signing in to the platform.

OpenDates is intended for use by athletic program staff and administrators at collegiate institutions. The platform is not directed to individuals under the age of 18. We do not knowingly collect personal information from anyone under 18. If we learn that we have inadvertently collected such data, we will delete it promptly.

We may update this Privacy Policy from time to time. We will notify you of material changes by email or by posting a prominent notice on the platform at least 14 days before the changes take effect. Your continued use of the platform after the effective date constitutes your acceptance of the updated policy.
